What Data Can You Store in Box?

Box is approved for storing and sharing UT data up to and including Category 3 (Sensitive) under UT's Data Classification Standard — making it one of the most versatile cloud storage options available.

Approved for Sensitive Data — Category 1, 2, and 3
UT Box may be used for Published (Cat. 1), Controlled (Cat. 2), and Sensitive (Cat. 3) data, including data covered by FERPA, HIPAA, and other regulatory frameworks — provided files are shared only with authorized individuals and appropriate Box folder permissions are applied. Category 4 (Restricted) data, including Social Security Numbers and payment card data, must never be stored in Box. Always consult the UT Data Classification Standard when in doubt.

Health Information
UT's Box contract includes a BAA for HIPAA-covered data. Contact your unit's data steward before storing PHI.

Collect electronic signatures on documents stored in Box. Included with the UT enterprise license — no separate DocuSign account needed for basic signing workflows.

Sign in to Box at utexas.box.com using your EID and password through UT's Single Sign-On — no separate Box account or password required.

Set Up UT Box

Your Box account is provisioned automatically — just sign in with your EID.

Go to utexas.box.com
Navigate to utexas.box.com and click "Use Single Sign On (SSO)." Enter your UT email address (EID@utexas.edu) to be redirected to UT's login.

Authenticate with EID
Log in with your EID and password. Complete MFA if prompted. Your Box account is automatically created on first login — no IT request needed.

Upload & Organize
Create folders, upload files via drag-and-drop, and set sharing permissions. Use the "New" button to create Box Notes or upload directly from your device.

Share Securely
Right-click any file or folder to get a share link or invite collaborators. Set access levels and expiration dates to match the sensitivity of the data.
